These Terms and Conditions apply to all coaching sessions, packages, and vouchers provided by Scott Mayo Pickleball, operated by Scott Mayo. By booking a session you agree to these terms. Nothing in these terms affects your statutory rights under UK consumer law.
1 Booking & Payment
- All sessions must be paid for in advance unless otherwise agreed in writing with Scott Mayo
- Payment can be made via bank transfer (BACS) or cash
- A booking is only confirmed once payment has been received by Scott Mayo
- Spaces are limited and allocated on a first come, first served basis upon receipt of payment
- WhatsApp messages are accepted as written confirmation for the purposes of these terms
2 Cancellation Policy
- All sessions are non-refundable
- With a minimum of 48 hours' notice, sessions may be rescheduled to an alternative date subject to availability
- Sessions may only be rescheduled once unless otherwise agreed with Scott Mayo
- Cancellations made within 48 hours of the session are non-refundable and non-transferable
- In cases of serious illness or genuine emergency, rescheduling will be considered at Scott Mayo's discretion and may require reasonable evidence
- Vouchers and packages are non-transferable to third parties unless explicitly agreed in advance with Scott Mayo
3 Scott Mayo Cancellation & Force Majeure
- In the event that Scott Mayo needs to cancel a session, clients will be offered a full reschedule or refund
- Scott Mayo will provide as much notice as possible in the event of cancellation
- Scott Mayo accepts no financial liability for losses incurred as a result of cancellation
- In circumstances beyond Scott Mayo's reasonable control, including but not limited to extreme weather, venue closure, illness, or national emergencies, Scott Mayo reserves the right to reschedule sessions without liability
4 Travel & Location
- Sessions within a 10-mile radius of Newport are included in the session price
- Travel beyond this radius will incur a mileage charge of £0.45 per mile, calculated from Newport
- Where sessions take place at external venues, clients are responsible for booking and covering court fees unless otherwise agreed in advance with Scott Mayo
- Scott Mayo reserves the right to adjust travel charges with reasonable notice
5 Session Validity
- Coaching packages and vouchers must be used within the stated validity period
- Unused sessions after the expiry date will be forfeited unless otherwise agreed in writing with Scott Mayo
- Validity periods will be clearly stated at the time of purchase
- Scott Mayo reserves the right to extend validity periods at their discretion in exceptional circumstances
6 Health, Safety & Safeguarding
- Participants must wear appropriate sportswear and non-marking footwear
- Participants must inform Scott Mayo of any relevant injuries or physical limitations prior to their first session
- Where a participant fails to disclose a relevant medical condition or injury and is subsequently injured, Scott Mayo accepts no liability
- Participation in all sessions is entirely at the individual's own risk
- Scott Mayo Pickleball holds public liability insurance
- Scott Mayo holds a valid DBS (Disclosure and Barring Service) check
7 Under 18s
- Participants under the age of 18 must have written parental or guardian consent prior to participating in any session
- A parent or guardian must remain contactable for the duration of the session
- Scott Mayo holds a valid DBS check and is committed to the safeguarding and welfare of all young participants
- Scott Mayo reserves the right to refuse participation to any under 18 without confirmed parental or guardian consent
- Photography and video of participants under 18 requires explicit written parental or guardian consent
8 Code of Conduct
- All participants are expected to behave respectfully towards Scott Mayo, other participants, and venue staff at all times
- Aggressive, abusive, discriminatory, or disruptive behaviour will not be tolerated
- Scott Mayo reserves the right to end a session immediately and without refund if a participant's behaviour is deemed unacceptable
- Scott Mayo reserves the right to refuse future bookings to any individual who breaches this code of conduct
- Repeated or serious breaches may be reported to relevant authorities where appropriate
9 Photography & Video
- Photographs and video footage may be taken during sessions for use on the Scott Mayo Pickleball website, Instagram, and other promotional materials
- If you do not wish to be photographed or filmed, please notify Scott Mayo in writing before your session
- For participants under the age of 18, written parental or guardian consent is required before any photography or video content is captured or used
- Scott Mayo will always use photography and video content responsibly and with respect for all participants
10 Limitation of Liability
- Scott Mayo accepts no liability for personal injury, loss, or damage to personal property sustained during sessions, except where this results directly from Scott Mayo's proven negligence
- Clients are advised to ensure they have appropriate personal insurance where necessary
- Nothing in these terms limits liability for death or personal injury caused by negligence, or any other liability that cannot be excluded under UK law
11 Dispute Resolution
- In the event of a dispute, both parties agree to first attempt to resolve the matter informally by contacting Scott Mayo directly at scottmayopickleball@gmail.com
- If the matter cannot be resolved informally within 14 days, either party may seek further resolution
- These terms are governed by the laws of England and Wales
12 Changes to Terms
- These Terms and Conditions may be updated from time to time
- Clients will be notified of any significant changes
- Continued use of Scott Mayo's coaching services following any changes constitutes acceptance of the updated terms
